Registration
CSF will maintain all required organizational registrations to operate lawfully and responsibly. This includes registrations with federal, state, and local authorities, as well as with funder-specific systems. CSF is committed to keeping all registrations current to ensure eligibility for funding, compliance with legal requirements, and transparency with stakeholders.
Federal Registrations
CSF will maintain active registration in the following systems as applicable:
System for Award Management (SAM.gov).
Grants.gov and JustGrants (for federal funding applications and reporting).
IRS charitable organization filings (including maintenance of 501(c)(3) status).
Renewal deadlines will be tracked to avoid lapses in eligibility.
CSF shall complete all renewals annually by November 1st.
State and Local Registrations
CSF will maintain active registration with the Oklahoma Secretary of State (or other applicable jurisdictions).
Annual filings with the state charitable registration bureau will be submitted on time.
Any additional state or local permits required for CSF operations or fundraising will be obtained and kept current.
Fundraising and Charitable Registrations
CSF will comply with all charitable solicitation laws in the states where it raises funds.
Annual reports to donors and regulators will include transparent financial disclosures as required.
Documentation and Oversight
All registration records, renewal confirmations, and compliance filings will be maintained in CSF’s compliance files.
Responsibility for registration oversight will be assigned to a designated compliance officer or Grants Management Officer.
Grant-Specific Requirements
Certain grants may require additional registrations or designations (e.g., UEI, DUNS legacy compliance, or federal civil rights assurances).
CSF will publish grant-specific registration addenda in the Grant Portal as needed.
Enforcement
Failure to maintain current registrations may result in loss of eligibility for funding, reputational harm, or legal penalties. Staff responsible for lapses may be subject to corrective action.
